The Game Theatre — Event Policies
These policies apply to all events produced by The Game Theatre. They are reviewed regularly and reflect our commitment to safety, inclusion, and respectful play.
TICKETS & PAYMENTS
Cancellation & Refunds All tickets are non-refundable. Venues, housing, catering, and Game Masters are contracted months in advance with limited capacity, and we are unable to make exceptions. We strongly recommend purchasing travel insurance if you are booking flights.
Ticket Transfers While tickets are non-refundable, they are transferable. You may gift or sell your ticket to another person for the same event date. Simply notify us at sales@thegametheatre.com with the new attendee's name and contact information. Transfers to a different event date are not permitted.
Payment Plans Tickets may be purchased via a monthly payment plan. Your first payment is due at checkout, with automatic monthly charges until the balance is paid in full. You will receive a receipt email after each payment with a "Manage subscription" link to update your payment method at any time. Can't find your receipt? Check your spam or promotions folder, or contact us at sales@thegametheatre.com.
Extreme Circumstances For situations beyond the scope of this policy, email sales@thegametheatre.com. We will do our best to work with you.
BOOKING & ATTENDANCE
Booking Form After purchase you will receive a confirmation email followed by a separate email containing your Booking Form. Your seat is not officially reserved until the Booking Form is completed. Use it to select your campaign, request roommates, detail dietary and accessibility needs, and provide emergency contact information. Complete it promptly after purchase.
Ticketed Players Only All attendees must be registered, ticketed players. Non-players, observers, and non-playing guests are not permitted at any event. On-site housing and meals are reserved exclusively for ticketed players. If someone in your group wishes to attend, they must purchase a ticket.
Solo Travelers There are no surcharges or additional fees for attending alone. The only optional upgrade is single-occupancy housing, which provides a private bedroom rather than a shared room. This upgrade is available at checkout.
PHOTO & VIDEO
By purchasing a ticket, you agree that you may appear in photos and video captured at the event. These materials may be used publicly, including on our website and social media. If you prefer not to be photographed, simply let our on-site photographer know at any time — we will respect your preference without question. If you appear in published materials and would like to request removal, contact us at sales@thegametheatre.com and we will address it promptly.
SAFETY & INCLUSION
Our Commitment The Game Theatre is committed to creating events where every player feels safe, respected, and genuinely welcome. These standards apply to all attendees, Game Masters, and staff without exception.
Code of Conduct All attendees are expected to uphold a standard of respect and maturity throughout the event. The following are not tolerated under any circumstances:
Harassment, threats, or abusive behavior
Physical or emotional harm directed at any person
Discrimination of any kind
Hate speech or slurs
Deliberate misgendering
Unwanted physical contact or violation of personal space
Real-world harmful symbols, speech, or ideologies
We comply with all applicable local laws and require all participants to do the same. Violations may result in immediate removal from the event without refund.
Pronouns & Names Use each other's chosen pronouns and names throughout the event. Mistakes happen — simply correct yourself and continue. Respectful communication keeps everyone in the game.
Emotional Safety Our events are designed to be an escape. Real-world politics, ideologies, and divisive topics should remain outside the game world. If you're having a difficult moment, take a break and speak with your Game Master or a staff member. We're here to support you.
Inclusion We welcome players of all races, genders, sexual orientations, and backgrounds. We are committed to accessible venues and inclusive content at every event.
Immersion & Consent Deep character immersion is encouraged but never required. A culture of consent and clear communication makes the experience richer for everyone. Be kind, be clear, and have fun.
REPORTING A CONCERN
If you experience or witness a safety issue, harassment, health concern, or any situation requiring immediate attention, please report it directly to:
Christopher Batarlis or Evan Michaels — Event Directors or any designated Game Master or event staff member on-site.
Every report is treated with urgency and full confidentiality. Because circumstances vary, all concerns are handled on a case-by-case basis between the reporting party and event leadership. There is no wrong way to raise a concern — we would always rather know.
